From Text Tax to Test Drives: How Dandenong Nissan Turned AI into Their Best Salesperson

The First Fix
Twenty-two cents doesn't sound like much. But when you're running a high-volume Nissan dealership and every customer interaction requires multiple text messages, those cents add up fast. More importantly, they change behaviour—and not in good ways.

"With the messaging system we had, it was 22 cents per text message," recalls Dylan Barter, New Car Sales Manager at Dandenong Nissan. "Whereas with Matador.AI, there isn't that sort of charge. So, the sales team can just go nuts with texting."

The cost wasn't the only problem. The messaging system the dealership used offered automation—you could set up standardised messages to go out automatically. But the moment a customer replied, everything came to a halt. The message would sit there waiting for a human response.

"There was no automation on the reply side," Barter explains.

"That's where Matador has been valuable to us. If the sales team are busy and can't tend to a customer's enquiry, AI kicks in after 15 minutes. After hours, it's quicker—about five minutes."

For a dealership handling enquiries across website chat, Facebook Messenger, Instagram and SMS, those gaps in response time were costing sales. Customers don't wait patiently for Monday morning when they've sent an enquiry on Saturday night.

Teaching AI to Sell Like a Sales Manager
The turning point came when Barter realised he could programme Matador with specific techniques he'd developed over decades in automotive sales.

"We have interaction where we can give the Matador Superhuman AI instructions," Barter says.

"And unlike some salespeople, the Matador Superhuman will actually listen to me and follow the instructions," he joked.

One example: appointment timing. Barter runs his dealership like a medical clinic—appointments get scheduled at 10:15 or 11:45… Never on the hour or half-hour.

"The instruction we gave Matador is: when making an appointment for sales, don't schedule them on the hour or 30 minutes past. Only schedule appointments at 15 minutes or 45 minutes past," Barter explains. "And it does it."

Barter takes his Superhuman assistant to an extra level. The Matador.AI system at Dandenong Nissan is called Dylan, named after the sales manager himself.

"It's not a fake name from a generic customer care team.

"People think they're talking to me, but I'm not having to worry about the fluff," Barter says.

"Matador just gives me a summary of what the issue is for me to take care of."

The Matador system learns continuously. It's also smart about promotions—when Dandenong Nissan runs a 1.9 per cent finance campaign on the X-TRAIL, Matador mentions it to X-TRAIL enquirers but won't incorrectly offer it to customers considering other Nissan models.

Perhaps most importantly, says Dylan (the human!) Matador knows when to stop talking.

"A lot of AI chatbots want the last word," Barter notes.

"Someone sends back 'okay,' and it'll reply. Matador doesn't do that. Thumbs up emojis, 'okay,' 'see you then'—it understands that's the close of communication."

The Productivity Unlock
The positive results are clearest for staff who entered the industry without pre-existing habits, says Barter.

Barter described how a young cadet from outside the automotive industry has quickly grasped the effectiveness of Matador.AI and is outperforming more experienced salespeople.

The difference? He uses the system religiously.

"Sales guys that have come in from fruit picking, truck driving, working in bricks and mortar retail—they've never done cars before… You mould those people and they get it, and they're incredibly receptive to it," Barter says.

The productivity gain isn't just about handling more enquiries. It's about removing the administrative burden that keeps salespeople glued to their desks.

Matador handles appointment confirmations automatically. When a salesperson books an appointment in the dealership's CRM, it is automatically synced with Matador, which then sends the customer a confirmation text with a link to Google Maps. An hour before the appointment, another reminder goes out.

"I don't hear my team confirming appointments anymore on the phone," Barter says. "If they do what's required to trigger it, it'll trigger."

Matador's phone integration solves another problem. Calls to the Matador number are routed through to the dealership's switchboard. About 15 minutes after the call, Matador follows up via text: "Was someone able to help with your enquiry?"

Keeping Customers in the Ecosystem
One of Barter's long-standing frustrations is salespeople who take customer relationships onto their personal mobile phones. When they leave the dealership, they take the entire customer database with them.

Matador addresses this by providing customers with a dedicated dealership number that feels personal and tailored to their needs. When Barter tells a customer, "I'll send you a text with my contact details," they save it as "Dylan at Dandenong Nissan."

If Barter takes a day off and the customer calls that number, it routes to the dealership. The relationship stays with the business.

Zero-Cost Leads: Mining What You Already Have
Most dealerships chase the five per cent of customers ready to buy within the week. But research shows the bulk of car buyers take one to six months from initial consideration to purchase.

"Salespeople are chasing that five per cent that are buying within the week," Barter observes. "They're not nurturing the long-term leads."

Matador doesn't give up. The system continues nurturing customers with a carefully sequenced series of messages over a month. Day one: "Thanks for your enquiry, how can we help you?" Next day: "Has someone been able to help you?" A week later, messages from the dealer principal, then from Dylan.

The critical feature: as soon as the customer replies, the sequence stops immediately.

"There's nothing worse than constantly getting bombarded as a customer," Barter notes.

This automated follow-up represents zero-cost lead generation. These are enquiries the dealership has already paid to generate. Matador keeps them warm until they're ready to engage.

The Honest Assessment
Asked whether he'd recommend Matador to other dealers, Barter's response is immediate: "Absolutely."

His definition of a progressive dealership has evolved: "A progressive dealership is using a CRM system and Matador with full fetch and push integration."

The shift in customer communication preferences makes systems like Matador essential.

"Millennials and Gen Z don't want phone calls," Bater observes.

"They don't want to talk on the phone," Barter observes.

"It's text messages, it's emails. They don't answer the phone, but then they're happy to text message."

It's not uncommon for Barter to come in Monday morning and find four new weekend enquiries with appointments already booked, information gathered, and everything in the appropriate salesperson's diary.

"Even after hours, Matador will qualify the customer, get all the information we need, make the appointment, and put it into the diary of the person that the lead is allocated to," Barter says.

As Barter points out, at Dandenong Nissan, Matador.AI doesn't replace salespeople; it ensures they're spending their time actually selling, rather than confirming appointments, chasing unresponsive leads, or wondering whether that Saturday night enquiry will still be interested by Monday morning.
